ASSISTANT TO THE CEO (m/f/d)

with additional responsibilities in
Human Resources

 

In this very well funded and extremely successful start-up with an office in Munich Haidhausen a very international group of highly skilled and motivated people are celebrating success by working hard - with a passion for their profession.

 

 

 

ROLE

 

  • Assistance to the CEO 
    (a very fast thinker, high affinity to technology with excellent IT skills, multi-lingual German citizen, family man)
    • Calendar management including the organisation of meetings, calls, video conferences etc. 
    • Travel management including booking, re-booking, visa and travel expense management
    • Keeping daily To Do lists and weekly planning, tracking tasks, reminding colleagues, keeping deadlines
    • Organisation of management and board meetings and here preparation of presentations and documentations beforehand as well as wholistic follow-up of action points afterwards
    • Screening and handling of incoming and outgoing emails
  • HR tasks including
    • Onboarding of new colleagues offering support to foreigners with forms etc.
    • Preparation of performance reviews and documentation of internal HR processes
    • Contact person for online job platforms, recruitment agencies etc.
    • Application management, screening and managing applications and candidate communication
    • Creation of job profiles, definition of key words etc.
    • Preparation and organisation of assessment centers
  • General support and ad-hoc projects including
    • Supporting other service department (Legal, Finance, Office Management) during vacation periods by ensuring smooth communication and providing necessary information/documentation 
    • Go-to-person for special projects in the administrative and communication field

 

PROFILE

 

  • At least 3-5 years of experience as an executive assistant or team assistant in a fast pace and international working environment
  • An expert with Apple's MAC, Microsoft programs and modern communication tools - short: IT savvy
  • Strong organisational and communication skills, both in German (native/very good) and English (very good), verbally and in writing (as more than 50% of your colleagues are non-German speakers)
  • Proactive, structured and independent working style
  • Ability to work in a team as well as resilience and loyalty 
  • Very smart personality, quick learner, fast solution finder and fun team colleague
  • Loyal, committed and solution oriented assistant
