OFFICE COORDINATOR

POSITION OVERVIEW

 

As part of the European organization the main focus of this role is to provide full secretarial and organizational support to the German Managing Director and President and be the ‘meet and greet’ for the company with general reception duties.

 

 

CORE RESPONSIBILITIES

  • Communicating at all levels on behalf of the European management with utmost confidentiality at all times
  • Screening incoming telephone calls and e-mails, dealing with enqiries and re-diverting to the appropriate colleagues.
  • Handling incoming and outgoing post and e-mails, distributing, actioning and/or drafting replies as appropriate.
  • Word processing of all communications including presentations
  • Organising meetings and arranging travel & accommodation for the management including expenses
  • Ensuring the smooth running of the office amenities and facilities, in connection with the Office Manager
  • Supporting the local HR department with any updates for employee’s information, absence and holidays
  • Special project work 

 

QUALIFICATION AND EXPERIENCE

  • Minimum of 3 years of secretarial experience or comparable experience in an organisational role
  • Proficiency in all usual Microsoft applications including Word, Excel and PowerPoint
  • Energetic & enthusiastic with a mature and flexible approach
  • Excellent written and oral communication skills in English and German
  • Excellent organisational skills
  • Professional, business-like approach
  • Must be adaptable and able to remain calm in a fast-moving, pressurised environment
  • Must be a team player

 

OFFER AND APPLICATION

 

The position offers an unlimited and full time contract with 40 working hours per week. Given the nature of the office coordinator's role you will be expected to work in the (beautiful!) Munich office in Riem. You will have 27 vacation days per year and can count on regular working hours. This role is suitable for a junior assistant, someone who wants to support and who would like to make a difference, grow into a responsible role and support the management and the company with all kinds of organisational and administrative duties. The 25 colleagues in the Munich office are account managers and organisational staff who all believe in the company and its products. The office has a very positive vibe and is looking for an engaged personality who likes to support, contribute with ideas and convince through a pragmatic and positive work attitude.
