The talent we are looking for

 

We are looking for a Personal/Executive Assistant to two Partners based in Amsterdam and Munich. This role takes you to the heart of the company, giving you a significant exposure to the leadership and executive levels of the institutions the company is interacting with.

 

Your main role will be to ensure that your partners can play their role effectively with respect to both internal management and  interaction with other parties. You will work very closely with the project teams in a fast pace environment.

 

More specifically, your tasks will include:

 

  • Being the first point of contact for all incoming communications
  • Sort, prioritize topics by importance and urgency
  • Manage heavy calendars, meeting and travel schedules for your partners
  • Setting up meetings, VCs and calls globally, often with multiple time-zones and dealing with last minute changes
  • Dealing with expenses, preparing or help preparing documents (emails, letters, presentations, articles) in the context of project work, proof-reading and formatting documents to a high standard
  • Work with the operations team and client teams to ensure optimal communication and delivery
  • Support the planning and management of events
  • Involvement in special administrative projects or projects of "circular economy", helping to build and structure processes, connect practitioners and coordinate outreach
  • Work closely toghether and act as interim assistant to the founder/founder's assistant during vacation/sick times

 

Expected skills and experience

 

We are looking for individuals with a record of excellence and achievement. You have proven that you are able to work in an international and project driven environment and are keen to work in a young, enterpreneurial company where you can get involved in a variety of work.

 

Specifically, you can offer:

 

  • A Bachelor's degree or equivalent education
  • 3+ years' work experience as an assistant to an executive or a demanding team with extensive diary management experience
  • Fluency in German and English (speaking, reading & writing)
  • Advanced knowledge of MS Office 365 programs, in particular Outlook, Excel, Word and PowerPoint
  • A real interest in sustainability and environment
  • The ability to pick up systems and processes quickly
  • High attention to detail along with excellent communications skills at all levels
  • A pro-active and organized mind set with the ability to multi-task and prioritize busy workloads efficiently
  • A team attitude, a very flexible, collaborative work style with the desire to succeed
  • A calm and well organized nature that can deal with stress, abiguity and change
